This Privacy Policy explains how VoiceSpend ("we", "our", "us") collects, uses, and processes information when you use the VoiceSpend mobile app and visit voicespend.ddmac.tech. VoiceSpend is a voice-first expense tracker that uses AI to transcribe and parse your spoken expenses into structured transactions.

VoiceSpend is designed to keep your financial data under your control. Your expense entries, accounts, categories, and tags are stored on your device (and in your personal iCloud container if iCloud is enabled). We do not operate a cloud database for your expense data.

What we process

1) Expense data (on-device / iCloud)

Your expense entries, accounts, categories, tags, and budgets are stored locally on your device. If you have iCloud enabled, this data syncs to your personal iCloud Drive container (iCloud.com.dennismacaspac.voicespend) — meaning it is stored in your own Apple iCloud account, not on our servers.

We do not have access to your expense data. If you export backups to other apps or locations (such as Files or cloud storage you control), those copies are managed by you and subject to the privacy policies of those services.

2) Audio processing (transient)

When you use AI voice entry, your recorded audio is sent to our secure backend, which uses OpenAI Whisper for transcription and GPT-4o-mini for expense parsing. Audio is processed to produce a transcript and structured expense entries and is not permanently stored on our servers. The audio file is discarded immediately after processing.

The transcript and parsed expense data are returned to your device for your review before you choose to save anything.

3) Subscription usage counters (on-device Keychain)

Your AI Minutes and image-analysis balances are stored in your device's Keychain — a secure, on-device storage system. This data persists across reinstalls but remains on your device and is never uploaded to our servers.

4) Website analytics (Google Analytics 4)

When you visit voicespend.ddmac.tech, we use Google Analytics 4 (GA4) to understand website usage and improve our site. GA4 may process information such as page views, device and browser type, approximate location (derived from IP address at a coarse level), referrer information, and click events (for example, clicks to the App Store).

We use GA4 reports in aggregate and do not use cross-app tracking or attempt to personally identify website visitors.

5) Diagnostics (platform-controlled)

Apple may provide us with anonymized crash and performance diagnostics if you enable sharing in iOS settings. We use this information solely to fix bugs and improve reliability. We do not receive information that directly identifies you.

Cookies & consent (website)

On voicespend.ddmac.tech, we may use cookies or similar technologies to support analytics and site functionality. Where required by law (such as in the EU/EEA or UK), we display a consent banner that allows you to accept or deny analytics-related storage. Your choice is stored in your browser and can be changed by clearing your browser's site data.

What we do not collect

• We do not permanently store your audio recordings.
• We do not have access to your expense entries or financial data.
• We do not collect precise location data.
• We do not collect contacts, calendars, or messages.
• We do not sell personal information.
• We do not maintain server-side copies of your expense data.

How we use information

• Provide core app functionality (transcription and expense parsing).
• Improve app stability, performance, and usability.
• Measure aggregate usage and adoption.
• Comply with legal obligations.

Sharing and third-party processing

We share information only as necessary to operate VoiceSpend:

• Apple: for app distribution, subscriptions, and purchases via the App Store; iCloud sync via your personal iCloud account.
• OpenAI: audio is sent to OpenAI's API for transcription (Whisper) and expense parsing (GPT-4o-mini). Audio is not retained by OpenAI beyond their standard API processing terms. See OpenAI's Privacy Policy.
• Google: for website analytics (Google Analytics 4).
• Service providers: as needed for analytics, infrastructure, or compliance, under strict confidentiality obligations.

We may disclose information if required by law or to protect our rights and users.

Data location & retention

On-device / iCloud data: Expense entries, accounts, categories, and tags remain on your device or in your personal iCloud account until you delete them.
Audio: Discarded from our servers immediately after processing. Not retained.
Analytics data: Retained only as long as necessary for the purposes described above or as required by law.

Your choices & rights

• On-device control: You may delete expense entries, accounts, categories, and tags at any time within the app.
• App removal: Deleting the VoiceSpend app removes all locally stored app data. If iCloud sync was enabled, data in your iCloud Drive container can be deleted via iOS Settings → [your name] → iCloud → Manage Storage.
• Subscriptions: Managed through iOS Settings > Apple ID > Subscriptions.
• Website analytics: You may allow or deny analytics via the consent banner or by clearing your browser's site data.
• Data requests: You may contact us to request access to or deletion of analytics data where technically feasible.

Depending on your location, you may have additional privacy rights under applicable laws (such as GDPR or CCPA). We do not sell or share personal information for advertising purposes.

Children's privacy

VoiceSpend is not intended for children under the age of 13 (or the equivalent minimum age in your region). We do not knowingly collect personal information from children.

Security

We rely on iOS platform security features, iCloud encryption, and industry-standard practices to protect information. No method of storage or transmission is completely secure, but we take reasonable measures to safeguard your data.

Changes to this policy

We may update this Privacy Policy from time to time. Updates will be posted on this page and reflected by the "Last updated" date.
